Advocate Tag Suggestions

Advocates can suggest tags for their own profile. You decide which ones to apply.

Tags stay under your control. An advocate can only suggest adding or removing a tag. Nothing changes on their profile until an admin approves it.

Turning It On for a Tag

Suggestions are set up one tag at a time.

  1. Go to Settings > Tags > Advocate tags
  2. Create a tag or edit an existing one
  3. Turn on Advocates can suggest
  4. Save

Both settings are off by default. Only admins who can manage settings see them.

  • Advocates can suggest: advocates can ask to add or remove this tag on their own profile
  • AI can suggest: lets AI suggest this tag on new advocate applications. It also needs the AI tag suggestions switch on. See AI Tag Suggestions

Advocates can suggest is not available on tags with the Internal display type, because advocates never see internal tags. Changing a tag to Internal switches it off.

What Advocates See

If at least one tag allows suggestions, the Tags row on the advocate’s Profile page has a Suggest changes link. It opens a Suggest tag changes page. That page lists only the tags you turned suggestions on for, grouped in your tag group order.

  • A group with a recommended maximum of 1 shows radio buttons, with a None choice
  • Other groups show checkboxes
  • A recommended minimum or maximum shows as a hint, such as “Choose at least 2” or “Choose up to 3”. It is not enforced

The advocate ticks tags they want and unticks tags they want removed, then submits. Each tag shows a status:

  • Awaiting review: you have not decided yet
  • Approved: a tag was added or removed as asked
  • Not approved: you dismissed it

Advocates get no message when you decide, and they do not see a reason. After Not approved, they can suggest the same tag again. Unticking a suggestion that is still awaiting review withdraws it.

See Suggesting Tag Changes for the advocate’s view.

Reviewing Suggestions in the Inbox

Each advocate with pending suggestions gets one card in the Activity Inbox. To see only these cards, choose Tag suggestions in the Show menu.

On the card, any admin can:

  • Approve a suggestion, which adds or removes the tag
  • Dismiss a suggestion, which leaves the tag as it is
  • Approve all to apply every suggestion on the card

If you dismissed the same tag for this advocate before, the card says so and shows the date.

When the last suggestion on a card is handled, the card leaves the inbox. A new suggestion from the same advocate brings it back.

Choices an applicant made on an application tag question that you did not review before approving the application arrive here too, on the new advocate’s card.

The card is quiet. It sends no email, Slack, or Campfire notification, and it cannot be snoozed.

When Things Change

  • You add or remove the tag by hand. The suggestion closes as already done, and the advocate sees Approved.
  • You delete a tag. Its suggestions are deleted too.
  • You move a tag to another group. Nothing changes.
  • You turn off Advocates can suggest. Pending suggestions stay and can still be approved. No new ones can be made.
  • You deactivate an advocate. Their card leaves the inbox and their suggestions are kept. Reactivating the advocate brings the card back.

Plans and Permissions

Available on all plans. Only admins who can manage settings can change the two tag settings. Any admin can review suggestions in the inbox.

Export and Import

Both settings are included in configuration export and import. See Configuration Import & Export.
